CRM software for real estate: build custom or buy off the shelf?

Real estate teams in Ahmedabad lose leads between WhatsApp, calls and portals. Here is what a real estate CRM has to do, and when a custom one beats a subscription.

A property enquiry rarely arrives in one place. It comes through a portal, a website form, a WhatsApp message, a missed call. If each of those lands in a different inbox, some of them are never answered, and nobody can say which channel is actually worth paying for.

That is the real job of CRM software for real estate. It puts every enquiry in one list, shows who is following up, and tells you what happened next.

The pipeline is only useful if it knows where each lead came from.

What a real estate CRM has to do

Most of the value comes from a small set of things done well.

  • Capture leads from every source, including WhatsApp and calls, not only web forms
  • Move each lead through clear stages, from first enquiry to site visit to closed
  • Assign leads to agents and show who has not followed up
  • Record the source of each lead so you can see which channel brings buyers
  • Keep listings, agents and enquiries connected in one system

When an off-the-shelf CRM is enough

If you are one small team with a simple process, a subscription CRM is usually the right first step. It is cheap to start, and it lets you find out how your team really works before you commit to anything custom.

When custom software makes sense

Custom becomes the better choice when the tool has to fit your business rather than the other way round. The clearest case is a company that serves many agencies. Each agency needs its own branded site, its own admin and its own data, and none of them should ever see another's leads.

That is the problem we solved on PropDesk, a white-label property platform. Every agency is an isolated tenant with its own subscription plan, and the limits of each plan are enforced on the server, not just hidden in the interface. Its lead pipeline has nine stages and records whether each lead came from a form, WhatsApp, a call or a chatbot.
